Bookit is owned and operated by Rally, a division of Box Clever Incorporated. Bookit provides scheduling tools for schools in Canada and the United States. Our customers are typically school staff who manage the platform on behalf of their school.

2. Information We Collect

We collect the following types of personal information:

From School Staff (our customers):

  • - Full name
  • - School-issued email address (personal email providers such as Gmail, Hotmail, or ISPs are automatically rejected during sign-up. All accounts are manually reviewed to verify school affiliation.)
  • - School information
  • - Billing contact details

From School Staff (as entered by administrators):

  • - Full name
  • - Work email address (used for booking confirmations)
  • - Optional comments included in booking setup (e.g., instructions or context for the meeting)
  • - Note: These email addresses and comments are provided at the school’s discretion and are not reviewed or processed by Bookit. They are stored only to support platform functionality (e.g. sending confirmations).

From Parents/Guardians:

  • - Full name
  • - Email address
  • - Student name (used only for identifying bookings)
  • - Phone number (optional and only collected if enabled by the school)

Automatically Collected:

  • - IP address
  • - Browser type and version
  • - Device operating system
  • - Usage data (via self-hosted analytics and Google Analytics)

3. How We Use the Information

We use the collected information to:

  • - Provide and maintain the platform
  • - Send booking confirmations and updates
  • - Communicate with school administrators
  • - Send system notifications and service updates to administrators
  • - Send marketing and promotional emails only with prior consent
  • - Ensure system security and reliability
  • - Analyze platform usage (aggregated and anonymized)

4. Sharing of Information

We do not sell, rent, or share personal information with third parties, except in the following cases:

  • - Stripe is used for payment processing. Only administrator billing information is shared with Stripe.
  • - As required by law (e.g., legal obligations, court orders)

We implement industry-standard safeguards:

We retain user and booking data as long as the school account remains active. Once an account is closed, we will retain data for 6 months before securely deleting it.

7. User Rights and Access

If you are a parent/guardian or staff member and wish to correct or delete your information, please contact the school directly, as they are responsible for managing their data within the system. School administrators may contact our support team for account-level data access or removal.

8. Children's Privacy

We do not collect personal information directly from children. Student names are collected only as part of booking metadata and are provided by parents/guardians or school staff.

9. Cookies and Analytics

Bookit uses both self-hosted analytics and Google Analytics to collect anonymized usage data. These tools help us understand how users interact with the platform so we can improve performance and usability.
